Basic Concepts of SAP Business Warehouse and BPS

Planning is usually executed along organizational structures.Modeling of planning processes also involves the definition of planning processes according to a planning scenario (e.g. sales planning, cost planning,…). In the planning framework work packages must be defined for different users with different responsibilities, planning strategies must be set up in order to consider the course of events and the inter dependencies of different steps.

BW-BPS offers different types of user interfaces. There is a separation between the user interface for modeling purposes and the end-user interfaces.The modeling interface is called planning framework.End user interfaces are called Planning Folders (for Excel and ABAP list viewer planning layouts) and Web Interfaces (for web planning layouts and Excel Web Components)

The planning framework is a modeling environment that can be used to build any type of planning. It delivers elements that may be used to create the building blocks for specific sub-plans. In BW-BPS those building blocks are called planning objects.The assembly of planning objects in the context of a specific sub-plan is called a planning application.

Planning applications cover one or many sub-plans (e.g. Sales planning or Sales and Profitability Planning).

Planning applications can be
-custom-built (using the planning workbench of BW-BPS)
-prefabricated (using SAP delivered planning content based on BWBPS)
-ready-made (e.g. cost center planning in CO-CCA)
-Regarding the differences of planning applications in R/3 and BWBPS 


Planning Area in the BW-BPS Framework

The planning area is the database for planning models.In the planning area all organizational structures and planning tasks related to a specific planning process can be set up.It corresponds to one Info Cube (Basic Planning Area) or multiple Info Cubes (Multi-Planning Area) and may be seen as an enhancement of the Info Cube in order to be able to plan.

The planning area comprises:

Attributes (of planning area) - Connection to BW via Info Cubes
Data Slices – Locking of specific characteristics against changes Variables
Master data – all characteristics and key figures of the corresponding Info Cube
Characteristic relationships – procedures to check, derive or propose valid combinations of characteristic values.

Planning levels determine the granularity on which data is planned They also may be used to define the hierarchical orders of the planning model – e.g. in a top-down scenario one planning level just includes the product group and the other planning level includes the product group and the product.Planning functions and Planning Layouts are depending on exactly one Planning Level.In addition planning levels may include selections of characteristic values (e.g. product group: water, juice)

The flag "Selection in package" determines whether characteristic values are selected in the planning level or in the planning package (e.g. for personalization)selection of characteristic values in the planning level is used, when the same selection applies to several planning packages. (e.g. Fiscal Year: 2010 is to be planned by all planners)selection of characteristic values in the planning packages is used when different selections are needed on one planning level (e.g. one planning package for country DE another planning package for country FR). Compared to the data selection in BW queries, planning levels may also be used for the execution of automatic planning functions, where no columns and rows are defined.

Planning Package in the BW-BPS Framework

The planning package is a subset of the planning level (requires setting "selection in package" in planning level)

Planning packages are always assigned to exactly one planning level. One planning level can contain several planning packages. 

Individual restrictions can be made using a planning package (e.g. single product group according to responsibility) for personalization 

If no package is defined at least one ad hoc packages needs to be created. 
Ad-Ho c-Packages can be created automatically. All planners can use this package at the same time and modify its selection based on their needs. (data which is used by another user is locked)

Ad-hock-packages reduce the customizing effort for users who work within the planning framework.
If no planning package specific selection is necessary (full selection on the planning level, personalization using variables), at least an ad-hoc-package must be created. In order to execute a planning method, the selection of a planning package is mandatory.
Ad-hock-packages can not be deleted.

Modeling of Planning Structures

  1. The planning level in BW-BPS determines a subsection of the Info Cube.
  2. It corresponds to a drill down level in a query.
  3. Key figures will be aggregated over all characteristics that are not in the planning level.
  4. The structure of a data record is determined by the Info Cube! When saving in any level every characteristic in the data record will be filled with a value.
  5. Delta records will have the value '#' (not assigned) for all characteristics that are not in the level.
  6. In the example above gross sales shall be planned across all regions for one division (beverages) and one product group (water).
  7. The selection defines on which level the entry of data will be allowed.
  8. The grid shows how the slice of the Info Cube looks in a flat table.
Aggregation and Planning Levels

  1. In BW-BPS data can be created on any aggregation level of an Info Cube.e.g. the Info Cube includes the characteristics product group and product – a user can enter data on the aggregated level (product group) or on a detailed level (product group, product).
  2. If the data is entered on a detailed level it can always automatically be aggregated. If the data is entered on an aggregated level it can either be distributed to a more detailed level or just stay on the aggregated level.
  3. If data is stays on an aggregated level, it is "not assigned" to some details (e.g. product) 
  4. Not assigned values may be distributed to detailed planning levels using distribution functions or manual assignment.
  5. The example illustrates these effect
  6. The Info Cube in the example includes the characteristics product group, fiscal year and the key figure amount.
  7. First table: Planning level contains product group, fiscal year and amount, the planning package is restricting the characteristic values for product group to water and juice and the fiscal year to 2010
  8. Second table: Planning level contains fiscal year and amount only and shows the aggregated amount entered in the first table. The amount is changed.
  9. Third table: planning level contains Planning level contains product group, fiscal year and amount, the planning package is restricting the characteristic values for product group to water and juice and the fiscal year to 2010. As a change was made on an aggregated level,there is an "unassigned value" (#) remaining regarding the product group.
  10. The possible next step would be to decide whether the not assigned value should be distributed to the different product groups or remain on not assigned. 
Not Assigned Values

Delta records will have the value "#" (not assigned) for all characteristics that are not in the level.
Note: # (not assigned) is always treated as a regular characteristic value and can be used in the same way.
Note: # (not assigned) can be used, where you intentionally want to leave a part of the values not assigned

Planning Method in the BW-BPS Framework

  1. Planning methods cover the different ways how data may be generated or manipulated using BPS
  2. Manual planning comprises the planning layouts that are used for manual data entry.
  3. The same planning layout may be used in the SAP GUI environment and in the web.
  4. Planning layouts are defined as ABAP List Viewer layouts or Excel layouts (converting from Excel to ALV is just setting a switch)
  5. All Excel and ALV layouts can be published in the web
  6. Excel layouts may be rendered on the web using Excel Web Components
  7. Planning functions are methods that automatically change data.
  8. BPS delivers generic planning functions that range from copying, distributing, deleting and others to a formula builder which can be used to create calculations according to a company‘s individual business rules.
  9. Planning functions are two-fold: the planning function and parameter group(s).
  10. The planning function defines the basic settings of the function (what characteristics and key figures are the basis for the function?) – e.g. Datasets shall be copied from version 1 to version 2, then the planning function will get the information, that version is the basis for the copy.
  11. The parameter group defines, which values should be used to execute the planning function and which conditions are applicable. For the copy that would mean from version 1 to version 2.
  12. The separation of planning function and parameter groups allows to reuse planning functions for  multiple purposes (e.g. one parameter group to copy from version 1 to version 2, another parameter group to copy from version 2 to version 3) 





Plan Data Selection and Data Buffer


  1. Planning methods in BPS work on data which is temporarily stored in a buffer called planning buffer
  2. Each user who works in BPS writes data into a personal buffer
  3. All data in the buffer is locked against changes by other users.
  4. Whenever a planning function is called, subsets of data are used from the buffer. If they are not already in the buffer, the data is called from the transactional Info Cube.
  5. The subsets that are called into the buffer depend on the data selection of the planning package and the planning function. (e.g. package includes countries Germany and Spain but the planning function only changes or creates data for Spain, then only a subset including Spain is called into the buffer.
  6. Whenever a user chooses to save data is written into the Info Cube. In order to do so, deltas are calculated.
  7. Even when a save was carried out the data remains in the planning buffer. Only upon leaving of the planning application the data is released from the buffer and available for changes by other users.

 SAP BW Architecture

The role that SAP BI plays in SAP Net Weaver is that of a central, integrated repository for information from distributed and heterogeneous sources. The parts described below are used for moving data from the source systems that contain it to the SAP BI data warehouse, and then organizing it, passing it out to others who need parts of it, and preparing it for analysis.

• Data Warehousing in SAP BW represents the integration, transformation, consolidation, cleanup, and storage of data. It also incorporates the extraction of data for analysis and interpretation.
• Administrator Workbench: The data warehousing process includes data modeling, data extraction, and administration of the data warehouse management processes. The central tool for data warehousing tasks in SAP BW is the Administrator Workbench.
• BI Platform: The business intelligence platform serves as the technological infrastructure and offers various analytical technologies and functions. These include the OLAP processor, the Metadata Repository, Business Planning and Simulation, special analysis processes such as Data Mining, and the Reporting Agent.
• Business Explorer Suite: The SAP BW Business Intelligence Suite, the Business Explorer, provides flexible reporting and analysis tools for strategic analyses, operational reporting, and decision-making support within a business. These tools include query, reporting, and analysis functions. Past or current data can be evaluated on various levels of detail, and from different perspectives, not only on the Web but also in MS Excel. 


 Info Cubes and Planning Areas

Operational Data Store or Info Sources.

•BW-BPS Master data and transactional data is stored in Basic Info Cubes
•There are two types of Basic Info Cubes: Basic non-transactional Info Cubes (NT) and Basic transactional Info Cubes (T)
•Basic non-transactional Info Cubes are used for actual data, whereas Basic transactional Info Cubes are intended to be used for plan data. The main difference is that non-transactional Info Cubes are optimized for read-access while transactional Info Cubes are optimized for write-access.
•Planning can only be carried out on Basic transactional Info Cubes.
•In order to use transactional Info Cubes for planning, a Planning Area must be set up in BW-BPS.
•Basic non-transactional Info Cubes may be used in Planning Areas as well – e.g. as a source for reference data or for plan-actual comparison.
•Both types of Basic Info Cubes may be used for data analysis in the BEx Analyzer. 
•The main difference between the different types of Basic Info Cubes is organizational – Basic non transactional Info Cubes may be loaded in a batch procedure while Basic transactional Info Cubes are
usually filled either manually or by planning functions.
•It is also possible to use transactional Info Cubes both for loading of actuals via extraction and for planning. To achieve this a switch needs to be set on the Info Cube to allow either "Load" or "Plan" at the given time.


BW-BPS Architecture Overview

Business Planning with BW-BPS allows to create strategic and operational business plans in a multidimensional way.
• BW is the database for all master and transactional data. Plan data can immediately be analyzed within SAP BW upon saving.
• BW-BPS provides user interfaces based on Excel, ABAP List Viewer (ALV) and Web.
• Planning functions allow to automatically alter and create data sets. Event-based execution of planning functions allows to automate parts of the planning process. 
• Planning processes may be automated and monitored using a comfortable, easy to configure workflow tool – the Status and Tracking System.
• Data modeling, user interfaces and planning methods are designed very flexible.  BW-BPS may be used for the design of any type of planning application.
• Planning in BW-BPS can be easily combined with planning in R/3.


Request ID-Handling in Transactional Info Cubes

• Data requests in transactional cubes stay open until the number of records in the data request exceeds 50,000.
• When an application is writing data into the request, so that the limit of 50,000 records is exceeded, the data is stored and the request is closed. (Thus a request can actually contain more than 50,000 records. Example: If a request already contains 49,900 records, and someone is using a BPS layout to store 500 records at once, then all the records are into the same request of this Info Cube, so that the request contains 50,400 records)
• As soon as the number of records in this data request exceeds 50,000, this request is closed and the request can be rolled up in defined aggregates if any exist (in asynchronous mode).
• Physically, the design of these Info Cubes possibly differs with respect to indexing and partitioning (depending on database). For an Oracle DBMS this for example means: no bitmap indexes on the F fact table and no partitioning of the F fact table by packet dimension (initiated by the BW).
• Roll up and definition of aggregates, compressing and so on is still possible.





Impact of Planning on Data Volume

Data volume increases in planning due to:

•additional transactional cubes,
•additional records (delta records) and
•additional detail level (e.g. version handling)
But:
•planning is usually done on a more aggregated level than actual reporting (A ship builder may plan by single customer, whereas a telecommunications company may plan by customer group only)
•plan data is archived more often



Overview of BW-BPS

Planning in BW-BPS comprises four major areas:

In Modeling the data model of a planning process is defined. That includes to  determine how the planning process will be set up in regards to business structure (slice and dice) and planning strategy (e.g. bottom-up, top-down, counter-current). Planning functions are operations that support the automatic processing of plan data (e.g. copying, forecasting, ...) in a stimulative fashion or embedded in batch processing.

Planning layouts in manual planning allow to set up the context of entering plan data for different users. Planning interfaces consist of one or many planning layouts together with planning functions to support the planner with the planning task.In order to coordinate the sequence of the planning process a planning tasks may be assigned to the planners and the status of the planning accomplishments can be tracked over the cycle of a planning session.


Planning with SAP R/3 and SAP BW

What are the differences between planning in SAP BW-BPS and SAP R/3?

• For customers who do not use R/3, BW-BPS offers a generic modeling tool that is ideally suited to flexible planning.
• R/3 is used for planning across the whole range of applications, from Cost Center Accounting, and Profitability Analysis to Human Resources. This planning is relatively static, this means it tends to follow the same path. So a cost center always plans its costs, activities, activity input and statistical key figures within the controlling area by cost center. Group wide, cross-controlling area planning is not possible in R/3. The planning functions, which are not covered in R/3 are generally covered either by Excel or other systems. Here the top-down, bottom-up planning integration is missing, which is supported by BW-BPS.
• Using the flexible structure of BW, you can for example create a new material as a characteristic, without having the maintain material masters, or simply change organizational structures, which you can then plan in BW-BPS.Consequently, the whole enterprise structure can become the object of planning. This is not possible in R/3.
• In contrast to R/3, which has separate, specific Customizing for every application, BW-BPS has a unified framework, which is not dependent on what the customer wants to plan.
• Whilst in the R/3 applications, the interfaces are all constructed differently, in BW-BPS the data is integrated according to the same procedure regardless of the planning application.
• You can integrate your planning by splitting the tasks between R/3 and BW-BPS. In areas where a company requires a high level of detail it is better to continue to plan with R/3. In other planning areas where the goal is the most flexible simulation of structure changes and their effects, you can use SEM-BPS to model and analyze the changes. This releases you from the relatively static conditions applying to organizational structures and Customizing.
• The CFO does not usually plan the quantity of sales, but uses aggregate planning at controlling area and company code level, which can be designated as characteristics. For example, he plans the key figure 'sales' for the following year,which increases 10% in comparison to the previous year. 
• The sales manager, who is responsible for the sales organization, already plans in more detail, for example quantities
and costs as well as the average price for the product group. This already indicates a refining of the characteristics and
key figures.
• The key account manager plans at the most detailed level with regard to characteristics and key figures. He plans sales
quantities, which are to be valuated using a material cost estimate and SD conditions.
• When modeling the planning process, you have to consider at which level of detail you want to work with BW-BPS or R/3. You should always plan where the data can be most effectively accessed. The key account manager is more likely to plan in R/3, as it is possible to access the material cost estimate and sales conditions, and there is no need to model these detailed planning values first in BW-BPS.





Planning with SAP R/3 and SAP BW – Feature comparison

Profitability Planning:

If valuation with negotiated prices and calculated standard costs is a must, CO-PA must be a part of profitability planning. If sales prices / product costs come from other systems or are entered manually or calculated as averages from actual data, BPS gives much more freedom and enhanced functionality.

Cost Center Planning

Plan price iteration is not available in BPS. However, BPS gives much more flexibility in modeling your plans according to your business needs and provides enhanced functionality. Whenever the output of cost center planning in BPS has to be transferred back to R/3 the necessary retractors are available. 

Investment Planning
R/3 IM should be used for local investment planning (incl. Workflow for approval) and realization as these planning objects lead to actual data in the exact same structure. Values that are marked as „strategic“, can be extracted to BPS, changed and retracted to R/3.

Profit Center Planning
It is recommended to do profit center planning in BPS due to higher flexibility and strong integration to other plans. Interaction with R/3 is ensured via Extractor and – in future – retractor Planned depreciation If plan depreciation is needed on a detailed level (e.g. capitalized fixed assets) the FI-AA functionality should be used. The results may be downloaded from R/3 and uploaded into BPS via CSV / Excel. For integrated scenarios (e.g. with investment planning) the formula function in BPS is recommended as it allows you to plan on a less complex level.

Headcount Planning
Planning close to the structures of actual data should be done in R/3, aggregated plans in BPS Planning in CRM Uses BPS technically for Sales Planning, Key Account Planning, Marketing Planning, Campaign Planning.Therefore Positioning against each other is not required.

Management Cycle for SAP Business Warehouse

Planning is an integral part of the management cycle.Companies are situated in complex environments (competitive landscape, political situation, geographical location…). Different companies follow different business models (e.g. public sector vs. private owned companies). Depending on their overall company goal (certain percentage of profitability, maximizing the public welfare…) they must consider the environmental situation in which they operate.

The management cycle helps companies to position themselves in complex environments and to keep on track in reaching their overall companies goal.The company mission is the framework to which all the operations in the company are supposed to contribute.Planning supports the decision making, the coordination of different divisions toward a common goal and defines general conditions for the operations. Execution involves all steps necessary for the actual value creation of the company. 

Reporting tracks all transactions incurred by the execution processes.Analysis is focusing on calculation the achievement of objectives, seeking out causes for deviations or opportunities to put more focus on. The result of the analysis is measured versus the company mission and leads to an evaluation of overall goals and actions to be taken in order to steer the course.







Business Planning covers different levels:
•Strategic planning is about defining the future direction of an enterprise; e.g. product/service offering, return on investment, company growth...

Strategic planning is a stimulative process in which different scenarios are modeled and subsequently evaluated in order to calculate the expected value to be created. Strategy evaluation leads to target setting for the operational units, which means breaking down the high-level strategic goals to targets on the execution level (e.g. expected net revenue, sales growth rate...)

•Operational planning means allocating the resources (labor, capital, assets) necessary to fulfill the targets and reconciling the resources across operational units (e.g. sales volume has to be reconciled with production volume – if you have production capacity to produce 200 bottles of sunscreen per month but you can sell 1000 bottles in August, you must produce at least 800 bottles of sunscreen in the months prior to August....)

•The results of the operational planning process may be used for detailed planning and scheduling in execution planning.




Top-Down and Bottom-Up

Top-down and bottom-up are directions used to coordinate the vertical planning process. Usually these directions are following hierarchical structures.

Bottom up means the data flow from detail planning on different sub levels to an aggregated perspective.

In SAP Top down is the opposite direction, where strategies and targets that were defined on higher levels are translated to operational targets. The "counter current" method is a combination of both. Different versions separate different plan assumptions and may be used to compare different perspectives (CFO – Sales representatives). The final version is usually the base for execution planning (e.g. detailed scheduling)




Rolling Forecast

•In the past planning very often was a static process carried out once a year intended to be the basis for the next years execution and budgets.

•Dynamic environments and fast changing business situations force companies to think of strategies to react to changing conditions. Buzzwords heard in this context are: Beyond Budgeting, Better Budgeting, Active Planning….

•Usually those concepts evolve around the necessity for change management in regard to the planning process and the people involved in it. Part of this change is the need for a constant process that allows to react to changes in the companies environment in a timely manner. 

•Rolling Forecasting is an ongoing process which compares the plan with the actual and derives an expected further evolution of the plan figures. If the deviation of plan and forecast extends a certain range the strategy has to be reevaluated in order to take appropriate measures or adjust the strategy.

Types of Plans

• The example shows how strategic planning directly influences different plans and how those feed into other plans which are based on assumptions made in previous steps.

• Strategic planning involves what-if analysis, simulation and comparison of different scenarios. The strategic targets must be mapped to key figures of operational planning steps in order to ensure the connection between strategic and operational plans. Example: ROI can be broken down into Sales (net sales), Production (product costs) and Investment Planning (e.g. investments in new plants) targets.

• In addition to amount and quantity based planning, strategic planning involves the definition of "soft" targets, such as training, employee motivation, customer satisfaction,… The balanced scorecard is an instrument which allows to translate soft targets into executable steps.

• Planning processes are usually complex - large numbers of staff from different parts of the enterprise can be involved in the planning operation. 

• Planning forms, standards, approval procedures, planning areas, and  planning objects need to the defined. Consolidation procedures must be created, and planning inter dependencies included.
